For First-Time Buyers

The storage and insurance policy is set up alongside your cask purchase. Our team will guide you through the process, including setting up your Worldpay recurring card payment. Automated card payment is now the standard way for all of our clients to settle their storage and insurance.

The policy for your new cask purchase officially begins on the date of purchase. Our blanket policy ensures your cask is always covered for as long as it remains in our warehouse.

No. The insurance is held under Hackstons’ name, but all the relevant detail on how your casks are covered is set out in the “Terms and Conditions – Purchase of Cask Whisky and Related Services” section of the document you received when purchasing your cask (the DocuSign), which outlines all terms, conditions, and coverage details for your storage and insurance. See below:

Hackstons has secured insurance to cover all products stored across its various locations within the UK. The policy provides comprehensive coverage for the safe storage of Your Casks in our bonded warehouse, alongside insurance against a range of risks including theft, accidental damage, natural disasters, and what’s known as ‘mysterious disappearance’ (leakage). Please note that the policy provider and value of coverage can change from time to time.

Hackstons shall be authorised as Your agent to deal with the collection of insurance fees and to act on Your behalf in all respects in relation to the Casks with the insurer either before or after a Delivery Order is issued.

We must advise that there are certain exclusions set out within the insurance policy.

The insurance policy includes an excess for each claim made, being £1,000.00 for each claim for loss in respect of storage and £2,500.00 for each claim for loss in respect of loss of volume and/or leakage. These excess costs will be covered by Hackstons in the event of a claim.

We can further clarify that all Stock held within the Bonded Warehouse locations covered under this insurance policy will be stored within those Bonded Warehouses at all times. At no point will any Stock sit outside of a Bonded Warehouse.

For Returning Customers / Existing Cask Owners

This new process replaces our previous arrangement, under which storage and insurance invoices were settled manually by bank transfer. You will receive a secure Worldpay link by email 30 days before your next storage and insurance payment is due, inviting you to set up your recurring payment. If you have already paid your storage and insurance until later this year or next year, you will receive your link 30 days before that paid period ends.

We’ll manage most of the transition for you. Because all cask insurance is held under Hackstons’ name, you won’t need any extra paperwork for the policy itself.

The one thing you will need to do is set up your recurring payment with Worldpay: enter your card details and choose your payment frequency (monthly or annual), collection date and currency.

Please complete this within 30 days of receiving your link. Until your payment is set up, we will send you a reminder 21, 14 and 7 days before your payment is due. If your payment has still not been set up by then, our team will contact you to complete the set-up.

Setting up your payment: step by step

Step 1: Open the email titled “Set up your storage and insurance payments” and click “Set Up Your Payments”. This secure link is valid for 30 days; if it has expired, simply click “Request a New Link” in the same email.

Step 2: On the Hackstons page, choose your payment schedule (monthly or annual), your collection day (1st–28th of the month) and your billing currency. This page also shows the total due today and the amount of your next recurring payments, so you know exactly what you are setting up.

Step 3: Tick the box to authorise Hackstons to store your card securely with Worldpay and charge it automatically for storage and insurance, then click “Continue to Card Setup”.

Step 4: You will be securely directed to Worldpay. Enter the name on your card, the card number, the expiry date (MM/YY) and the security code, then click “Verify and Save Card”. If you have already paid your storage and insurance for the current period, Worldpay simply verifies your card and no payment is taken at this stage. If a payment is due (for example, for a new cask or an outstanding balance), the total shown on the set-up page will be taken once your card is confirmed.

Step 5: If Worldpay is unable to verify your card, a message will ask you to check the details entered or try a different card.

Step 6: Once your card is verified, you will see a “Card Setup Complete” confirmation and receive an email titled “Your card has been set up”, summarising your card (last four digits), payment schedule, billing currency and next scheduled payment date.

This is a one-off step. Once it’s done, any future cask purchases are charged to the same card automatically – you’ll only need to enter your card details again if your card expires or you want to switch to a different card.

No Direct Debit will be taken for your storage and insurance. Payments are collected solely through your Worldpay recurring card payment, so you will never be charged twice.

Your existing storage and insurance rates will see a slight adjustment. Some prices may be slightly higher, while others might be slightly lower, depending on the specific line item. We commit to full transparency, so you will receive a clear pricing breakdown with every new purchase. Our current rates are as follows (as of November 2025):

Storage – Barrel: £0.75 plus VAT per week

Storage – Hogshead / Barrique: £0.80 plus VAT per week

Storage – Butt / Puncheon: £2.00 plus VAT per week

Insurance – all cask types: £4.95 per £1,000 of purchase value per year. All casks and client-owned goods must be insured; the cost of insurance is added to your storage fees.

No. We have multiple warehousing facilities for clients’ casks. All are stored in Scotland via HMRC approved bonded warehouses. Our storage approach prioritises optimal conditions for each cask, meaning they may be housed in different areas of the warehouse based on factors like cask type, spirit, and maturation requirements.

Policy Management

All your casks are covered under a single storage and insurance policy, regardless of their purchase dates. This reduces paperwork and simplifies your payments. Every cask you own will be clearly detailed within your invoice. Our policies align with the calendar year, running from January 1st to December 31st. Your payments, whether annual or monthly, will be calculated proportionally based on this annual cycle.

Payments: General

Storage and insurance payments are collected as a recurring card payment through Worldpay. We accept all major credit and debit cards (Visa, Mastercard), including American Express. You’ll enter your card details on a secure payment page and choose your payment frequency, collection date and currency.

Automated card payment is now our standard method, as it is the simplest and most secure way to keep your storage and insurance up to date. If you have any questions or concerns about setting up your payment, please contact [email protected] and our team will be happy to help.

When you set up your recurring payment with Worldpay, you’ll choose between monthly and annual payments, along with your preferred collection date and currency. If you pay monthly, your annual total is simply divided into 12 equal instalments.

Yes. You can pay for up to 10 years of storage and insurance in a single payment, taken securely through Worldpay. Your rates are fixed for the full period you pay for. Should you sell, bottle or move your cask before the end of that period, we will refund the difference to the card on file. To arrange this, please contact [email protected].

No, for simplicity, we don’t split payment terms across individual purchases. However, you can change your payment terms (from annual to monthly, or vice-versa) when you enter into a new purchase or at any other point. Our system will simply recalculate your remaining balance for the current calendar year.

To keep things simple and consistent, all storage and insurance fees across your casks are paid in a single currency, through one recurring Worldpay payment. We’re unable to split individual casks across different currencies within the same payment plan. You choose that currency yourself when you set up your recurring payment – see section “Payments: Currency” for the full list of currencies available.

Your first payment: for a new cask, your first payment is taken when your Delivery Order (DO) is issued, backdated to start from the date of purchase of your cask(s).

Annual payments: your first payment covers the period from your purchase date until 31 December of that year. After that, annual payments are always collected in January, on the collection day you selected (1st–28th). You are charged once for the full calendar year (1 January to 31 December), whichever day you choose: choosing the 5th of January, for example, does not split your payment in two.

Monthly payments: the same calendar-year logic applies: your total is calculated for the calendar year (1 January to 31 December), and your monthly payment is simply that annual amount divided by 12. You can select any collection date from the 1st to the 28th of the month. Your first payment covers the period from your purchase date until your chosen collection day; full monthly payments are then collected on your chosen date thereafter.

If a payment is missed, our admin team will contact you to arrange for its prompt settlement. Please note that late payments will incur late fees. Please be aware that if charges remain unpaid when due, Hackstons or the Bonded Warehouse keeper reserves the right to retain possession of your goods as security. This lien will remain in effect until all outstanding charges, interest, and associated costs are paid in full. For complete details on our late payment procedures, please refer to Part 12 (Lien) of our Terms & Conditions.

For annual payments: your S&I policies run from January 1st to December 31st each year. When you purchase new casks, their initial S&I is calculated pro-rata from the purchase date until December. Then, in January, all your active purchases are consolidated for the full calendar year.

Here’s an example:

  • Purchase 1 (February 2025): You pay S&I for February to December 2025.
  • Purchase 2 (April 2025): You pay S&I for April to December 2025.
  • January 2026: A single annual invoice is due for both Purchase 1 and Purchase 2, covering January to December 2026.
  • Purchase 3 (June 2026): You pay S&I for June to December 2026.
  • January 2027: A single annual invoice is due for all three purchases, covering January to December 2027.

For monthly payments: the total annual S&I charge is simply split into twelve equal instalments.

While you will receive a full summary (a payment schedule) showing all upcoming payments, the actual payments will be collected each month on the specific date you select (e.g., the 1st or the 5th).

For example: you will be invoiced but not charged for S&I for Purchase 3 from June 2026 to December 2026. In January 2027, you’ll only be charged for S&I on Purchase 3 for the months of June to December 2027. The same principle applies to discounts you receive after your initial 12 months of free S&I.

Applying a free year of S&I to the above example:

Imagine your third purchase qualifies you for a free year of S&I:

  • You will be invoiced but not charged for S&I for Purchase 3 from June 2026 to December 2026.
  • In January 2027, you’ll only be charged for S&I on Purchase 3 for the months of June to December 2027. Your first and second purchases will receive the free year of S&I for the entire January to December 2027 period.

The same principle applies to discounts you receive after your initial 12 months of free S&I.

Payments: Worldpay Recurring Payments

Setting up your recurring payment is straightforward. You will receive a secure Worldpay payment link by email 30 days before your next payment is due. On this page, you enter your card details and choose your payment frequency, collection date (1st–28th of the month) and currency. Once confirmed, payments will be automatically collected on the agreed dates.

Step 1: Open the email titled “Set up your storage and insurance payments” and click “Set Up Your Payments”. This secure link is valid for 30 days; if it has expired, simply click “Request a New Link” in the same email.

Step 2: On the Hackstons page, choose your payment schedule (monthly or annual), your collection day (1st–28th of the month) and your billing currency. This page also shows the total due today and the amount of your next recurring payments, so you know exactly what you are setting up.

To update your card: use the “Request a New Link” button in any of our payment emails, or contact us and we’ll send you a secure link. Your current card stays active until the new one is confirmed.

Your payments will be collected on the agreed-upon date each month or year, in the currency you selected when setting up your recurring payment.

Annual payments: yes. Fourteen days before your annual payment, you will receive an email reminding you of your upcoming payment.

Monthly payments: no reminder is sent before each monthly payment. Your payment is simply collected on your chosen day, and you will receive a receipt once it has been taken. However, if your card has expired or is about to expire, we will email you 7 days before your payment is due so you can update it.

Until now, storage and insurance has been settled manually by bank transfer. As our client base, casks and payments have grown, we’re moving to an automated process through WorldPay, so you no longer need to arrange transfers yourself. It also allows us to offer a wider choice of payment currencies and a flexible collection date, so you can pay in a way that suits you, wherever you are based.

Yes. Your card details are captured and processed directly by Worldpay, a regulated and secure payment provider, using encrypted technology. Hackstons does not hold your card details: the only card information we see is the last four digits, which appear on your receipts so you can identify the card used. This means that, in the unlikely event of a data breach at Hackstons, your card details could not be accessed.

Card expiring: if the card Worldpay holds on file for you has expired, or is about to expire, we’ll email you 7 days before your payment is due so you can update it. If you have chosen annual payments, your upcoming payment email (sent 14 days before) will also ask you to update your card.

Failed payment: if a payment cannot be taken, you will receive an email letting you know, together with the reason (for example, insufficient funds or an expired card). We will then automatically try to take the payment again every day for 7 days. If the payment still cannot be taken, our admin team will contact you to update your details and arrange for prompt settlement.

As with any missed payment, late payments will incur late fees, and if charges remain unpaid when due, Hackstons or the Bonded Warehouse keeper reserves the right to retain possession of your goods as security, in line with Part 12 (Lien) of our Terms & Conditions.

Payments: Currency

You can choose to pay in a wide range of currencies, selected when you set up your recurring payment with Worldpay. Your payment breakdowns, invoices and receipts are all issued in the currency you choose. The full list of currencies available is set out below:

No. Hackstons does not charge any additional fees for paying in a different currency or from overseas. Your card provider may apply its own charges, depending on your bank or card issuer.

Invoicing, receipts and payment breakdowns

You will receive an invoice when you purchase new cask(s), and then each December for the year ahead. As payments are taken automatically from your saved card, there is nothing further for you to settle: you will also receive a receipt after every payment, whether it is a monthly payment, an annual payment or your first payment for a new cask. That means:

Annual customers: an invoice and a receipt when you purchase new cask(s), covering the period until 31 December; then an invoice each December for the year ahead, and a receipt once your January payment has been taken.

Monthly customers: an invoice when you purchase new cask(s) and each December for the year ahead, and a receipt for each monthly payment, including the first one.

Yes. Whenever your situation changes – for example, when you buy your first cask, add a new cask to those you already own, or sell a cask – you will receive a payment breakdown showing the new amount you will pay from then on.

Your invoices, receipts and payment breakdowns are sent electronically by email, in your chosen payment currency. To make sure you receive them, please add [email protected] to your safe senders list.

Your receipt will clearly show the amount paid and the currency charged, the payment date, the exact dates of the period the payment covers, the last four digits of the card used, a payment reference, and a breakdown of storage and insurance for each of your casks, including the cask number, as well as the VAT included on storage (insurance is not subject to VAT).
